Onboarding a New Property

Early Engagement with Developer

  • Meet to understand vision and project timeline.
  • Review and advise on Conduct Rules, Management Rules, or Constitution.
  • Begin governance and operations file.
    Register scheme with relevant authorities (CSOS, SARS).
  • Open scheme bank accounts and plan for levy collection.
  • Liaise with conveyancers on ownership and clearance.

Pre-Transfer Setup

  • Draft budget and propose levy structures based on vetted service provider quotes.
  • Load scheme onto WeconnectU for financial and compliance management.
  • Reconcile pre-transfer income/expenses for AGM disclosure.
  • Coordinate building insurance and issue valuation certificates.
  • Collect and store key documents (plans, warranties, user manuals).

First Unit Transfer

  • HPM takes on role of managing agent.
  • Issue welcome packs with required documentation.
  • Support developer in preparing for the first General Meeting.

First General Meeting

  • Help convene the meeting within 60 days of transfer.

  • Facilitate trustee election, budget approval, and levy implementation.

  • Provide onboarding and guidance to newly elected trustees.
