Administration
AGM & Trustee Meetings
Schedule, coordinate, and minute Annual and Trustee meetings in accordance with legislation and governance rules.
Open and manage bank accounts
Set up and operate transactional and savings accounts.
Levy & Utility collections
Issuing of levy invoices and statements to owners, collect monthly levy contributions and recovery of utility charges.
Clearance certificates
Prepare and issue levy clearance certificates for property transfers (fee-based).
Employee wages and statutory payments
Administer payroll, including PAYE, UIF, Compensation Fund submissions.
Applications to government or local authorities
Handle applications for licenses, permissions, and consents from government departments or local authorities as required by law.
Enforcement of rules
Assist with rule enforcement, pet applications, incident reporting, and resolution processes.
Retention of Accounting and Administrative Records
Securely store financial and operational records for a minimum of 6 years.
Accounting
Administrative and Reserve Fund
Maintain separate accounting records for the Administrative and Reserve Funds, ensuring compliance with legislation and governance documents. Day-to-day expenses are managed through the Administrative Fund, while long-term maintenance reserves are tracked and managed through the Reserve Fund.
Budgets
Prepare and present the annual budget to ensure accurate levy calculation and sound financial planning for the upcoming year.
Comprehensive Financial Reporting and Analysis
Maintain detailed accounting records through to trial balance and compare actual financial performance against the budget to support informed decision-making. This includes preparation of income statements, balance sheets, and debtors and creditors age analyses.
Annual Financial Audit
Facilitate the annual audit or compilation of your community scheme financials in accordance with applicable laws and governance documents, ensuring compliance and timely completion ahead of the AGM.
Compliance

CSOS Compliance & Returns
Submit annual returns, levy submissions, and amendments to CSOS. Assist with dispute resolution and representation in CSOS proceedings.
POPIA & PAIA Compliance & Returns
Assist with compliance under the Protection of Personal Information Act (POPIA) and the Promotion of Access to Information Act (PAIA), as required.
SARS Compliance & Returns
Handle income tax registration, and prepare and submit tax returns to ensure full compliance with SARS regulations.

Building Replacement Valuations
Assist in Arranging professional building replacement valuations in line with regulatory requirements to ensure adequate and appropriate insurance cover.
Annual insurance renewals
Coordinate the renewal of all required insurance policies, including building, fidelity, and public liability cover, in line with regulatory requirements.
Claims Management
Manage the entire insurance claims process from submission to resolution on behalf of the Body Corporate or HOA.

Maintenance
Maintenance Oversight & Grounds Supervision
Manage and supervise employees by allocating tasks, providing support, and ensuring quality control. Conduct regular inspections and assist and advise the Trustees on common property maintenance and assess the standard of work carried out by staff and contractors to ensure it meets required standards.
10-year maintenance plan
Facilitate the procurement of a qualified professional to prepare the 10-year maintenance, repair, and replacement plan in compliance with regulatory and governance requirements. Provide ongoing assistance in reviewing and updating the plan annually.
